Last Revised: June 26, 2025

1. Statement of Purpose

Coastal Roofing Advisors, LLC ("CRA") is committed to operating with transparency, professionalism, and regulatory alignment. Our company policies are designed to protect clients, staff, contractors, and the public while ensuring lawful and ethical service delivery across all engagements. CRA reserves the right to revise this policy at any time to remain in compliance with evolving laws and best practices.

2. Contractor Classification Policy

CRA utilizes a mixed operating model including both 1099 independent contractors and W-2 employees, when applicable. All roles are clearly defined in writing, and any changes to classification require signed mutual consent and proper notice.

Key Standards:

  • No independent contractor shall be subject to fixed schedules or mandatory reporting protocols beyond agreed scope of services.

  • All project direction shall be conducted under legally compliant subcontractor terms.

  • Misclassification is strictly prohibited. CRA adheres to the standards set forth in IRS Publication 1779 and DOL regulations.

3. Documentation Integrity Policy

CRA maintains a forensic documentation protocol across all projects.

This includes:

  • Timestamped photographic and video logs

  • Full internal memo chains tied to project files

  • Chain-of-custody preservation of thermal imaging, measurement tools, and third-party evaluations

Fabrication, suppression, or alteration of documentation is grounds for immediate termination and potential referral to legal authorities.

4. Client Communication and Representation

CRA staff and affiliates must:

  • Communicate truthfully and with transparency

  • Never pressure, coerce, or mislead clients regarding scope, coverage, or code

  • Refer legal questions to appropriate counsel

  • Ensure all verbal claims are traceable to written documentation

5. Code and Regulatory Adherence

All work performed or supported by CRA must align with governing local, state, and federal building codes. If code conflicts arise, CRA will:

  • Cite the adopted code or jurisdictional amendment

  • Document in writing the affected area

  • Notify the client and offer options within the legal framework

CRA never "looks the other way" on code violations.

6. Data Retention and Privacy

CRA actively collects, stores, and protects data under its [Privacy Policy].

This includes but is not limited to:

  • Site photos

  • Email chains

  • Contracts and change orders

  • Internal and external documentation relevant to project integrity

We do not sell or lease data to third parties. Sensitive documentation is retained in encrypted archives with access limited to credentialed personnel.

7. Conflict of Interest & Disassociation

CRA reserves the right to formally disassociate from any client, contractor, or affiliate whose actions:

  • Compromise ethical standards

  • Expose the company to regulatory risk

  • Conflict with our fiduciary posture

All disassociations will be documented in writing and filed under internal compliance logs.

8. Protected Activity & Whistleblower Safeguards

CRA supports the lawful protection of all individuals engaging in good-faith reporting of:

  • Workplace safety violations

  • Labor misclassification

  • Insurance fraud

  • Regulatory breaches

CRA will never retaliate against a whistleblower and maintains full alignment with:

  • OSHA 29 CFR Part 1977

  • DOL Whistleblower Protection Program

  • Relevant state whistleblower statutes

9. Job Site Conduct Standards

All CRA-affiliated personnel must:

  • Wear appropriate PPE on-site

  • Use fall protection in accordance with OSHA 1926 Subpart M

  • Document site hazards and escalate concerns immediately

  • Refrain from drugs, alcohol, or harassment of any kind

10. Final Note

CRA is not a volume-based contractor. We are a documentation-first, integrity-based advisory and field services firm. Clients who value discretion, truth, and ethical execution will find full alignment with our operating standards.
